Terms & Conditions – Tokyo Group Trip
(June 2–8, 2025)

By booking and attending this group trip to Tokyo, Japan (June 2–8, 2025), you (“the Participant”) confirm that you have read, understood, and agreed to the following Terms & Conditions:

1. Media Release & Consent

By participating in this trip, you consent to being filmed, photographed, and recorded throughout the duration of the trip by the trip host, hired videographers, photographers, or other media personnel. This includes but is not limited to group activities, candid moments, interviews, and behind-the-scenes footage.

You grant the Organizer and their partners an unlimited, irrevocable, royalty-free, worldwide licence to use, edit, distribute, and publicly display your image, voice, and likeness for promotional and commercial purposes. This includes use on social media platforms, websites, digital and print marketing, and any other media format now or in the future.

You waive any right to inspect, approve, or request removal of media content featuring you.

2. Data Protection (UK GDPR Compliance)

Personal data including names, likenesses, and recordings may be collected and stored for promotional purposes. Your data will be handled in accordance with the UK GDPR and Data Protection Act 2018. You may withdraw consent to future use of your personal data in writing, but this will not affect media already published or scheduled for release.

3. Assumption of Risk & Release of Liability

You acknowledge that international travel and group activities carry risks, including but not limited to injury, illness, loss, theft, or damage to personal property.

By joining this trip, you voluntarily accept these risks and agree to release and hold harmless the Organizer, its affiliates, staff, agents, and independent contractors (including videographers) from any liability, claim, or demand for damages, injuries, losses, or disputes that may arise during or in connection with this trip.

4. Waiver of Right to Sue

You agree not to file or pursue any claim, lawsuit, or legal action against the Organizer or their representatives in relation to:

• Use of your likeness or personal data in promotional content.

• Any physical, emotional, or financial harm resulting from your participation in the trip.

• Activities conducted during the trip, including third-party excursions or services.

This waiver applies to all legal jurisdictions, including those under UK and Japanese law.

5. Indemnification

You agree to indemnify and hold harmless the Organizer against any legal action, loss, or expense (including attorney’s fees) arising out of your own conduct or breach of these terms during the trip.

6. Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of England and Wales. Any disputes arising from your participation in this trip or these terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.

7. Age Requirement

Participants must be 18 years of age or older at the time of booking. By proceeding with your booking, you confirm that you meet this age requirement.

8. Acknowledgement of Understanding

By proceeding with your booking, you confirm that:

• You have read and understood these Terms & Conditions.

• You agree to be bound by them in full.

• You consent to the use of your image and waive your right to legal claims related to this use.

If you do not agree to these terms, please do not proceed with booking.

9. Payment Terms

A payment plan is available for this trip, allowing participants to pay the total trip fee in three instalments. The first invoice is due by 18 April 2025.

Participants are legally obliged to complete all outstanding payments and pay the remaining instalments no later than 31 July 2025. Failure to fulfil payment obligations may result in removal from the trip and forfeiture of any amounts already paid, at the discretion of the Organizer.
